Open Education Micro Grant Program (2025)

Information about UFV's OEMGP for 2025. Including considerations for applications as well as selected projects, past projects, and information about OER.

About

The University of the Fraser Valley (UFV) Open Education Micro Grant Program (OEMGP) will support short-term proposals (Sept 1, 2025 - Feb 28, 2026) for projects to create, develop or modify open education resources to be used in UFV courses as well as similar courses elsewhere. The OEMGP will provide funding for Open Education Student Assistants to help faculty/staff supervisors with their projects.

One OEMGP grant will be awarded in the following areas (applicants will be required to indicate their faculty affiliation in their proposals):

  • Faculty of Humanities,
  • Faculty of Social Sciences,
  • Faculty of Applied and Technical Studies,
  • Faculty of Education, Community, and Human Development,
  • Faculty of Health Sciences,
  • Faculty of Professional Studies,
  • Faculty of Science, and
  • *NEW Grant: A non-academic department (e.g. Academic Success Center, Career Centre, Student Services)
    • We highly recommend these units connect with us prior to submitting their applications for review

Eligibility

Project Lead

For faculty area grants, OEMGP funding is open to all UFV teaching faculty members (permanent, sessional, LTA).

For the non-academic department grant, OEMGP funding is open to UFV employees (staff or non-teaching faculty) who are capable of supervising a student worker.


Open Education Student Assistants

The OEMGP uses the UFV Work-Study Grant Program Application Guidelines & Supervisor Handbook to define student eligibility (p. 12):

"1. Students must have at least one semester completed at UFV.

2. Grade Point Average (GPA): Students must have and maintain throughout the funding semester a minimum GPA of 2.0. Students in programs that do not assign a GPA (e.g., Trades, Teacher Education Program) must have advanced at a reasonable pace.

3. Enrollment: For the Fall and Winter semesters: Students must be and remain enrolled in a minimum of 9 UFV credits throughout the work-term semester, 6 credits if registered with the Centre for Accessibility Services. For Trades a minimum of 18 hours of non-credit courses is required. Note: For the summer semester no enrolment is required if students will return to full-time study in the following Fall semester.

4. Students may hold only one Work-Study position per semester. Students on Co-operative Education placements must not at the same time hold a Work-Study position.

5. Students who have graduated are not eligible. However, students completing their program of study in the semester the Work-Study position has been awarded may complete the full allocation of hours.

International students hired into Work-Study positions must be full time, have a valid study permit, and have a Social Insurance Number (SIN).”

Program Timeline

  • Call for proposals - May 2025
  • Adjudication Committee reviews proposals – June/July 2025
  • Select & notify successful applications - August 2025
  • Faculty hire Student Workers - September 2025
  • Work on OEMGP projects - September 1st, 2025 to February 28, 2026
    • Faculty supervise/meet with students
    • Students complete work assigned
    • Students send timesheets to faculty; faculty submit to us for review
  • Final faculty reports - March 2026
  • Inclusion of projects in HarvestIR and libguide update - April 2026

Project Proposal

Applicants should complete the form below and indicate the following in their proposals:

 

Project Deliverables

Proposals must clearly indicate what tangible OER will be developed/modified. Fundable projects may include, but are not necessarily limited to:

  • Modification of existing open education textbooks,
  • Editing and revising an open resource under development,
  • A Pressbooks conversion (or similar),
  • Development of ancillary resources for existing resources (e.g. question sets, case studies, student activities), or
  • Some other project that leads to the creation of an open educational resource.

The fund is not intended to provide continuing support for projects.


Educational Impact

Proposals must clearly demonstrate how the project will support, enhance, or improve student learning experiences at UFV. Projects should support courses at UFV (as well as other institutions) and must demonstrate relevance to a known open educational resource need. 


Student Involvement

Project proposals should clearly describe the tasks to be undertaken by the Open Education Student Assistant assigned to successful projects. OEMGP funding for any one project is limited to $3,000 of student time (approximately 120 hours). Students will be hired as Open Education Student Assistants at $17.85 (as of June 1, 2025) per hour plus 10% in lieu of vacation and statutory holidays. Funding for OEMGP cannot be used for any other purpose.

Hourly wage = Provincial minimum wage $17.85 + 10% in lieu of vacation x 120 hours $2,356.20
Plus 21% CPP +EI Benefits (based on total hours above) $   494.80
Total for 120 hours $2,851.00

Project proposal should align with UFV's Integrated Strategic Plan and the SEM Plan.
